AI Chatbot on Your Website: When It Is Worth It
What an AI assistant on a company website does well, what it does badly, when it wins you customers, when it scares them off, and what it takes to stop it making things up.
The little chat bubble in the bottom right is back in fashion. It used to be menus of options that helped nobody; now it is language models that will answer anything, and that is exactly the problem.
An AI assistant on your website can win you enquiries, or it can give a customer a wrong answer with complete confidence. The difference is not the AI. It is how it has been set up.
What it does well
Answering what is already on your website. Opening hours, areas you cover, what a service includes, how your process works, rough timescales. Information you have published but spread across six pages nobody is going to read end to end.
Covering out of hours. A good share of any business’s visitors arrive at night and at weekends. Someone resolving a doubt at eleven and leaving their number is contact you would otherwise have lost.
Filtering before it reaches you. A well-planned assistant asks the basics — what you need, by when, how big it is — and hands you the conversation with the context already gathered. You arrive at the call knowing what it is about.
Taking the same ten questions off your plate. The ones you answer every week in the same words.
What it does badly
Giving prices. If your price depends on the case, an assistant that blurts out a figure has just created a conflict. Either you honour it, or you look like the one putting the price up afterwards.
Talking about things it does not know. A language model without clear limits does not say “I don’t know”: it says something that sounds right. About your terms, your guarantees or your deadlines, that is a legal problem, not a funny story.
Replacing a person. Once someone has decided to hire you, they want to talk to someone. If the chat insists on helping at that moment, it is in the way.
Appearing after two seconds and covering half the screen. On mobile especially. That is not customer service, it is an obstacle.
When yes and when no
It makes sense if you get a fair number of repeat enquiries, you sell a service or a catalogue that needs explaining, people write to you at odd hours, or your website already has enough content for the assistant to draw on.
It does not make sense if you get four enquiries a month — read them yourself, you will learn more — if your sale is genuinely personal, or if your website does not yet explain what you do. An assistant does not fix a website nobody understands: it inherits the problem.
What actually decides whether it works
It answers from your information only
This is the technical piece that separates a useful assistant from a dangerous one. Instead of letting the model answer from memory, you give it access to your material: your website pages, your documents, your FAQs. It answers from that and nothing else.
If the answer is not there, it does not invent one.
It knows when to give up
The most valuable sentence an assistant can produce is some version of “a person should really explain this one — can I take your number?”. And it needs to say it early, not after three failed attempts.
It has forbidden ground
Fixed prices, committed deadlines, legal terms, anything that sounds like a promise. There, the assistant hands over to a person. Always.
You can read the conversations
This is the part almost nobody uses and the most profitable over time. The questions people ask the chat are exactly what your website is failing to explain. Read them every few weeks and they will tell you which pages to rewrite.
How we approach it
We always start small: the assistant answers from your website and your documents, it has a clear list of what it does not touch, and it hands the conversation to a person the moment something needs deciding. No prices, no deadlines.
And before building it, we check whether you need one at all. On a site with modest traffic or few enquiries, a clear form and a well-placed WhatsApp button will outperform any assistant.
If you want to know whether your website is at the point of making use of one, get in touch. And if you are interested in the rest of what can be automated behind the scenes — email, quotes, product listings — that is on AI automation.
